Privacy Policy
Last updated: 13 August 2026
DigiOn Solutions Pvt. Ltd. (“DigiOn”, “we”, “us”) provides AI call-answering and related marketing services to home-services businesses in the United States. This policy explains what information we collect, why, how long we keep it, and what you can ask us to do with it.
The short version. We collect what you give us on our forms and what your callers say to the AI receptionist we run for you. We use it to deliver the service and to contact you about it. We don't sell it. Call recordings and transcripts belong to our clients, and we delete them on request.
1. Who we are and how to reach us
DigiOn Solutions Pvt. Ltd., #108, 2nd Floor, 27th Main Road, Sector 2, HSR Layout, Bangalore, Karnataka 560102, India. Our delivery team is based in India and we serve clients in the United States.
Privacy questions, access requests and deletion requests: privacy@digionsolutions.com or +1 (469) 772-8686.
2. Information we collect
a. Information you give us directly
- Free audit form: your name, company, business phone number, city or metro, and email address.
- Demo request: your first name, company and mobile number.
- Correspondence: anything you send us by email, text or on a call.
b. Information collected automatically
- Standard web analytics via Google Tag Manager and Google Analytics 4 — pages viewed, approximate location derived from IP, device and browser type, referring source.
- Consent records: a timestamp and IP address logged when you tick a consent box, so we can evidence permission later.
c. Call recordings and transcripts
Where you engage us as a client, our AI receptionist answers calls placed to your business line. Those calls are recorded and transcribed. Recordings may contain the caller's name, phone number, service address, the nature of their request, and anything else they choose to say.
d. The free missed-call audit
If you request the free audit, you are expressly asking us to place a call to the business phone number you provide, outside business hours, and to record what happens. We use that recording solely to produce your audit video. We delete it within 90 days, or immediately if you ask.
3. Call recording and consent
Every call our AI answers opens with a notice that the call is recorded and that the caller is speaking to an AI assistant. Some US states require all parties to a call to consent to recording. Our call flows are configured to give that notice at the start of every call.
Where DigiOn operates a receptionist on your line, you are the controller of that call data and we are your processor. You are responsible for ensuring recording is lawful for your business and in your state; we provide the disclosure mechanism and will configure it to your instructions.
4. SMS and text messaging
- We send text messages only to numbers that have given consent — either by ticking a consent box on this site, or, for your customers, through the consent your intake process captures.
- Message frequency varies. Message and data rates may apply.
- Reply STOP to opt out of any message at any time. Reply HELP for assistance.
- We do not sell or share mobile numbers or SMS consent with third parties for their own marketing.
- Demo requests receive one call and one text. We do not add you to a marketing list from a demo request.
5. How we use information
- To deliver the service you asked for — running your receptionist, booking jobs, sending transcripts and reports.
- To produce and send your free missed-call audit.
- To contact you about your enquiry, by email, phone or text, as you consented.
- To improve call quality — we review transcripts weekly and retune the assistant.
- To meet legal, tax and accounting obligations.
We do not sell personal information, and we do not use client call content to train third-party AI models beyond what is necessary to process the call.
6. Who we share information with
We use service providers to run the service. Each processes data only on our instructions:
| Provider | Purpose |
|---|---|
| Twilio | Telephony, call routing, SMS delivery |
| Vapi / voice AI providers | Speech recognition, conversation, speech synthesis |
| n8n (self-hosted) | Workflow automation and lead routing |
| HubSpot | Customer relationship management |
| Google (Analytics, Tag Manager, Workspace) | Analytics and email |
| Your field-service software | ServiceTitan, Jobber or Housecall Pro, where you ask us to book jobs |
We may also disclose information where required by law, or in connection with a merger or sale of the business.
7. International transfers
DigiOn's team is located in India. Information collected from US clients and their callers is processed in India and in the United States. Where we act as your processor, our services agreement sets out the applicable safeguards and confidentiality obligations.
8. How long we keep it
| Data | Retention |
|---|---|
| Audit recordings (prospects) | 90 days, or immediately on request |
| Client call recordings and transcripts | For the term of the agreement, then exported to you and deleted within 30 days of termination unless you ask us to keep them |
| Enquiry and CRM records | 24 months from last contact |
| Consent records | 4 years, to evidence permission |
| Invoices and accounting records | As required by Indian and US law |
9. Your choices and rights
You can ask us to: give you a copy of the information we hold about you; correct it; delete it; or stop contacting you. Email privacy@digionsolutions.com and we will respond within 30 days.
If you are a California resident, you may have additional rights under the CCPA/CPRA, including the right to know what we collect, to delete it, to correct it, and to opt out of sale or sharing. We do not sell or share personal information as those terms are defined by the CCPA. We will not discriminate against you for exercising any right.
You can opt out of Google Analytics using the Google Analytics opt-out add-on.
10. Security
Access to call recordings, transcripts and CRM data is restricted to team members who need it. Data is transmitted over encrypted connections and stored with providers that offer encryption at rest. No system is perfectly secure, and we cannot guarantee absolute security.
11. Children
Our services are sold to businesses. We do not knowingly collect information from anyone under 18. If you believe we have, contact us and we will delete it.
12. Health information
We do not currently support HIPAA-regulated workloads and do not sign Business Associate Agreements. Please do not send us protected health information.
13. Changes to this policy
If we make material changes we will update the date at the top of this page and, where the change affects you materially, tell you by email.
